Reimbursement of Approved Spending
If you need to buy something for the garden we have a procedure to make sure that the spending is approved by the committee, and that you will be reimbursed for your purchase. Simply follow the procedure and you'll have a smooth administrative experience!
1. The most important thing to do is to have your purchase approved by the Garden's committee before you spend any money. This is usually done through a meeting, and the best way to kick off the process is via an email to the current committee. Let them know what you want to buy, why the garden needs it, and how much you think it will cost. Depending on the amount of the purchase, this will have to be approved by a vote at a meeting, but may be approved by the committee before that if it's not a substantial sum.
2. Make your approved purchase and keep your receipts.
3. Submit your receipt along with a claim form for reimbursement and pass this on to the Treasurer, who will get other committee members to also sign it off, and get a cheque to you.
4. When you receive your cheque you also need to sign the bottom of the claim form to show that you have received the money and the Garden completes its paper trail.
