The Vera Street Community Garden Bush Dance is coming! Saturday 10th Oct
Here's how you can help out!

There's lots to do and we'll need all hand on deck to make this a really successful community event. If we all do a bit it should be pretty easy to organise, and we can all still have fun!

Here's a list of tasks we need volunteers for, both before, during and after the event. Choose what you'd like to do and let me know! Contact Kelly on 32178446, or even better, drop me an email kellygreenop@gmail.com

HELP BEFORE THE DAY
  • Approach businesses for donations of food, drinks etc for BBQ (see list below)
  • Make up signs directing people to park, to toilets, to first aid etc
  • Make muffins or cakes for the dessert stall
  • Set up eskys with ice for softdrinks

SETTING UP CREW ON THE DAY
  • Meet hire companies and direct them where to set up marquees, toilets, generator etc
  • Set up tables and chairs
  • Safely arrange generator, lighting etc
  • Cordon off creek area
  • Arrange BBQ area including bins, place for plates, sauces etc
  • Set up coffee and cake stall
  • Set up management HQ table with first aid kit, phone, contact numbers, lighting

EVENT MANAGEMENT ON THE NIGHT
  • Meet and greet band and set them up, make sure they get meals and drinks
  • Set up generator and PA system with band, check all is OK
  • Staff BBQ and food area (a few people to do this)
  • Staff drinks stall ( a few people to do this)
  • Staff coffee and cake stall (a few people to do this)
  • Staff management HQ (someone from the committee to do this?)
  • Check toilets and safety aspects
  • Photographer to record the event, amateur will do!

CLEAN UP CREW: Sunday 11th October, to make the site ready for school on Monday 12th October
  • Meet equipment hire people, make sure all gear is removed and accounted for
  • Clean up site of rubbish and recycling, making sure to recycle as much as possible, including compostable materials into the garden compost bins
  • Check site for safety following event in case of broken glass, rubbish in creek etc
  • Return borrowed equipment to owners (eg BBQ, tables, chairs etc)
  • Store equipment borrowed from BCC or other organisations: where?

In addition to volunteer positions, we would like to borrow these items for use at the event:
  • BBQ
  • Urn for tea and coffee (and chai?)
  • Tables for BBQ, cake stall, drinks stall,  management HQ
  • Red mesh for blocking off areas (BCC?)
  • Square of clean carpet for the band
  • Eskies for softdrinks

Donations and discounts we would like to get for the event:
  • BBQ food: meat, bread, salad for burgers
  • soft drinks
  • plates and cups (paper, compostable)
  • ice for eskies
  • coffee and tea
  • home-made cakes and muffins for dessert
  • balloons and decorations, especially home made ones
  • lanterns for decorating the site? Paper lanterns

If you know of businesses that might be willing to help out, let us know and we can approach them, or discuss how this should be done (so we don't double-up on approaching people!)
